GDPR PRIVACY POLICY 

What information will we have?


By consenting to allow us to keep your details on our database we will have information about your address and contact details. We will have information about what make stairlift you have and on what dates we have attended your stairlift for installation, service or repair. For surveys we will have your address, contact details and details of the stairlift we have quoted for installation including measurements and prices. We also have a written out paper invoice/report (of which you will also have a copy) with your contact/stairlift details, when attended, work done, cost and your VAT exemption declaration.


How will your information be used?


We will use your contact details to contact you when necessary for service, repair, installation, manufacturers free safety upgrades (if required) if changes to appointments made are required, invoices, non payment of invoices notices, this list is not exhaustive but we would only contact you in relation to your stairlift.


The information we record on your stairlift will be used to tell us the make, model & work that has been carried out to the lift, what parts to order if needed and still available. Any concerns regarding the working of the stairlift and if we have quoted you for new parts, at what cost and when quotes were sent. VAT exemption declarations are kept by law in case requested to prove your eligibility to not pay VAT, as are invoices for accounting purposes.


Where we will store your data


Our database with customer contact details & information about their stairlifts is kept on our office computers that are secure and password protected. It is also backed up on storage devices that are kept securely locked away.


We have paper copies of invoices (of which you will have a copy) from when your stairlift has been attended with contact details, dates, work carried out, costs and your VAT exemption declaration. These along with any other paperwork that has personal details on is securely locked away when not in use.


We have a shared appointments calendar for when you book for us to attend, this is stored on our secure & password protected office computers and mobile devices for when out and about, these details are deleted from the calendar within one month of attendance. Any paperwork needed when our engineers are out working is kept securely locked in the van or is with them in person.


The period for which we will keep your information


We will keep your information for as long as is necessary for us to fulfil the purposes that we describe in this policy, unless you request us not to, with the exception of paperwork/data required by for HMRC (invoices/VAT exemptions) which has to be kept by law for 7 years.


As a general rule, however, if a stairlift as not been attended to for a period of 3yrs we will automatically remove your contact and stairlift details from our database. If a request to attend the stairlift is made outside of the 3yr period we will request a new General Data Protection Regulation Consent form to be completed by the customer.


Who will we share your information with?


We take your privacy seriously. Your information helps us to run our company efficiently and effectively and we will not share your information for marketing purposes outside of stairlift requirements. We may share your information with our professional advisors, any law enforcement agency, court, regulator, government authority or other third party where we believe this is necessary to comply with a legal or regulatory obligation, or otherwise to protect our rights or the rights of any third party.


Any third party that purchases, or to which we transferral or substantially all our assets and business. Should such a sale or transfer occur, we will use reasonable efforts to try to ensure that the entity to which we transfer your information uses it in a manner that is consistent with this policy.


Your choices and rights


You have a number of rights in relation to your information, and can make a number of choices about how we use it. For example, you can decide that:


You want your details recorded but not to be contacted for anything.

How you want to be contacted eg telephone, letter or any combination of them.


You have the right to remove or withdraw your consent at any time by contacting us using the details below, we will remove your details within one month of your receiving your request. This is without detriment.
